Fukuoka Jisho Co., Ltd. (hereinafter called “FJ”) will collect, use, and share your personal information appropriately in accordance with the Act on the Protection of Personal Information (as amended, Act No. 57 of May 30, 2003.). 1. Scope of application This Privacy Policy will apply when customers and other individuals provide personal information (“Personal Information”) to FJ’s services. 2. Collection and obtainment of Personal Information FJ will collect and obtain the following Personal Information by fair and appropriate means for the purpose of achieving the purposes mentioned below No.3. in a legal and equitable manner; Name, address, telephone number, fax number, e-mail address, employment information (company name, division/department, title, address, telephone number, fax number. Collectively called "Employment Information"), mailing address, passport information and the like 3. Purpose of collection and obtainment of personal information In conduct of business by FJ, FJ will collect and obtain the Personal Information for the purposes described in ①-⑨ below, in accordance with the Act on the Protection of Personal Information. ① To collect customers feedback; ② To reply customer's question or request for materials; ③ To research markets and/or to develop products and/or services; ④ To provide information on events, seminars, campaigns and the like; ⑤ To send e-mail magazines or direct mails; ⑥ To provide information on products or services which FJ or our business allies provide(s); ⑦ To contact or to provide information to applicants, and other purposes necessary for the employment and recruiting activities; ⑧ To communicate or to provide information at facilities owned or operated by FJ; and ⑨ For other case where necessity to contact arises. 4. Provision of Personal information to a third party FJ may provide the Personal Information with a third party and use the Personal Information with the third parties according to the following; (1) Types of the Personal Information provided; Name, address, telephone number, fax number, email, address, Employment Information, mailing address, passport information and the like. (3) Purposes of provision of the Personal Information In conduct of business by the third parties described in the previous item (2), the third parties will use the Personal Information provided by FJ for the purposes described in ①-⑧ below. ① To collect customers feedback; ② To reply customer's question or request for materials; ③ To research markets and/or to develop products and/or services; ④ To provide information on events, seminars, campaigns and the like; ⑤ To send e-mail magazines or direct mails; ⑥ To provide information on products or services which FJ, FJ's affiliate companies or our business allies provide(s); ⑦ To communicate or to provide information at facilities owned or operated by FJ、FJ's affiliate companies or third parties; and ⑧ For other case where necessity to contact arises. Disclosure and provision of the Personal Information to third parties FJ will not disclose nor provide your Personal Information to any third party without your prior consent, except in accordance with or required by applicable laws, or in the cases described in above No.4. If FJ appoint a third party to handle the Personal Information, FJ will implement the necessary and appropriate level of safety measures to prevent any Personal Information from being disclosed. 6. Management of the Personal Information FJ will ensure the accuracy and safety of the Personal Information provided. Furthermore, FJ will implement information protection regulations to prevent leakage of, loss of, or damage to the Personal Information. 7. Disclosure, correct, discontinuance, elimination of the Personal Information If you request FJ to disclose, correct, discontinue utilizing or to eliminate the Personal information, FJ will make necessary actions without delay. 8. Organizational structure FJ will provide personal information protection regulations, and otherwise securely manage personal information. FJ will carry out necessary and appropriate supervision of its members of board and employees. 9. Implementation, sustention and improvement FJ will extend supervision to all parties that handles the Personal Information to ensure understanding of this Privacy Policy, and to make continuous improvements for more secure management of the Personal Information according to applicable laws and regulations. 10. Minors FJ will not intend children for the Personal Information and FJ will not intentionally solicit or collect the Personal Information from individuals under the age of 20 (twenty). If FJ is notified or otherwise discover that a minor’s Personal Information has been improperly collected, FJ will take all commercially reasonable steps to delete that information. In limited instances, FJ may have a campaign or program targeted toward children. In these instances, details on the information practices will be presented within the terms and conditions of the program or campaign. 11. Lawful basis for processing the Personal Information FJ protects your personal information by ensuring that it can only be used to the extent necessary for specific purposes and by requiring that there is a lawful basis for EU General Data Protection Regulation 2016/679 (hereinafter called “GDPR”). FJ may process your personal data on one or more of the following lawful bases: (1)When your consent is obtained to the processing (Article 6(1)(a) of the GDPR) (2)When processing is necessary in order to perform or take steps to enter into a contract (Article 6(1)(b) of the GDPR). (3)FJ needs to process the information to comply with a lawful obligation (Article 6 (1)(c) of the GDPR). Legal Rights provided by the GDPR In accordance with the GDPR, the following legal rights are provided with: (1) Request for disclosure: You can request copies of your Personal Information and details of how FJ processes it. (2) Request for correction or updating: Corrections or updates to the Personal Information will be undertaken wherever possible after due review of the request. (3) Request for erasure: You may request that FJ deletes all or part of the Personal Information FJ holds about you. FJ will consider your request and, where the information is no longer required or the law does not permit FJ to continue to retain it, FJ will delete it. (4) Transferring your Personal Information: You can request a copy of your Personal Information in a structured, common, machine-readable format. This only applies to the Personal Information which FJ obtains from you and process on the basis of your consent or in order to perform a contract, and which is processed by automated means. (5) Objecting to processing: You can object to processing which is carried out on the basis of FJ's or a third party’s legitimate interests or for the purpose of direct marketing. FJ will stop processing your information unless FJ has a strong reason to continue which overrides your objection. If your objection is to direct marketing, FJ will always stop. (6) Restricting how your Personal Information is processed: You can limit how FJ processes your Personal Information in certain circumstances. Where this applies, any processing of your Personal Information (other than storing it) will only be lawful with your consent or where required for legal claims, protecting certain rights or important public interest reasons.
